OmegaQ Privacy Policy

OmegaQ ("OmegaQ", "we", "us") provides a private, business-to-business operations platform used by registered investment advisory firms and their staff. The OmegaQ mobile app is a secure client for that platform. This policy explains what the app accesses and how information is handled.

Who uses this app

OmegaQ is an internal tool for advisory-firm personnel. It is not a consumer product and is not intended for use by the general public. Access requires an account issued by a firm that licenses OmegaQ.

Information the app handles

• Account & authentication data — you sign in with your firm-issued identity (Microsoft Entra ID). We receive your name, work email, and a session token. We do not see or store your password.
• Business and client records — once signed in, the app displays the advisory data your firm maintains in OmegaQ (households, accounts, activities, notes). This information belongs to your firm and is processed on its behalf.
• Meeting audio you choose to record — if you start an in-office recording, the app captures microphone audio only while you actively record, after you confirm the client was informed. The recording is uploaded to your firm's OmegaQ workspace to be transcribed and summarized for the client file. Audio is used only for that purpose.
• Diagnostic data — standard operational logs (e.g. error and delivery logs) used to keep the service reliable and secure.

How information is used

Information is used solely to provide the OmegaQ service to your firm: to authenticate you, display your firm's data, and record, transcribe, and file meeting notes at your direction. We do not sell personal information, and we do not use it for advertising or cross-app tracking.

Microphone

The microphone is used only when you explicitly start a recording. It is never accessed in the background without an active, user-initiated recording session. You can decline or revoke microphone permission in iOS Settings; the rest of the app continues to work.

Sharing

Data is accessible to your firm and to the sub-processors OmegaQ uses to run the platform (cloud hosting and the transcription/summarization pipeline operated for OmegaQ). These providers act under contract and only to deliver the service. We disclose information if required by law.

Security

Traffic uses standard encryption in transit (HTTPS/TLS). Access is restricted to authenticated, authorized firm users and scoped to a single firm's tenant.

Retention

Business records and recordings are retained by your firm under its own record-keeping and compliance obligations. Requests to access or delete data are handled by your firm as the data controller.
